Hello,

For the June month end our AP person posted the AP transactions for the month to the Ledger. After posting the user printed the posting journal. In AccPac and Adagio the journal shows a number of entries that seam to be consolidated into one large entry.

The user is wonder why this happened as it makes it difficult for the user to reconcile the entries. We run 5 or 6 companies and this only happened to one company.

The user would like to know:

What does the description ?Consol. By AP on Jun 28 04? mean?

As a test I copied the live company data to a test directory and ran the AP posting and it appears correctly. Each invoice is listed and is followed by a consolidated cheque run.

Hi Jeffrey,

When someone prints the GL Transaction report within a sub-ledger program (such as AP), they get the opportunity of consolidating the report. What has likely happened is that on Jun 28th when the GL transaction report was printed from Payables, someone chose Yes to consolidating the report by acct-dept. Thus when the batch was retrieved into Ledger, the entry descriptions indicate consolidation.

The solution is to not consolidate this report prior to retrieval into GL.

There is also a choice to consolidate entries for the Bank (within the Company Profile), but that would appear differently and is not the reason for consolidated invoices.

Sorry, no. That's why the question is asked, and the default is "No". If it's worth significant dollars, your Adagio consultant could probably re-generate the entries from other information stored in Payables, but it could easily take them a day or so.

You can prevent it from happening again by disabling the "Prompt to consolidate" option in the Integration tab of the Payables (and Receivables) Company Profile.

That's what I suspected. So, if I disable the 'prompt to consolidate' option, you can view the 'consolidate transaction report' but can't actually consolidate? If so, this is likely a good move...especially when new staff are doing things in Adagio.

Hi Andrew,

I don't see a 'prompt to consolidate' option on the Integration tab of the version I am using. I am way behind on upgrading versions so maybe it's something that was introduced on a later version. The computer shows that I am running 8.1A (080821) for Payables.

With regards to upgrading versions, if I want to upgrade now, do I have to do all the upgrades I have been emailed about in order of receiving the notices or do I just install from the most recent email?

Also, we have purchased a new server that we hope to install in the next few weeks. The specs for the new server are SERVER
PowerEdge R410 X5560 Xeon 2.8GHz, 6GB (3x2GB)
4 x 300GB 15K RPM SA SCSI 6Gbps 3.5in Hotplug Hard Drive
Windows Server 2008 R2, Standard Edition, Includes 5 CALS
Are there any known issues I should be aware of with installing Adagio on the new server?

Hi Laura,

The version of Payables you quoted does not have the feature specified by Andrew. An upgrade would be necessary.

If you downloaded the most current upgrade for Payables, you can install that directly and are not required to install all the versions in between.

We have many clients sucessfully using a Windows server 2008 R2 with Adagio. For more information, you can access the Compatibility information page on our website, and look specifically at the link for Windows Server 2008.

Hi Laura,

Your server installation will need to have your Adagio Consultant assist with the installation to at least run the SetServerforAdagio function.

Have your consultant review the hardware specifications and the environment to ensure that there are no issues, and you might want to consider having your consultant assist with the Adagio portion of the server upgrade.

While we have many sites (and very large sites) running Server 2008 R2, this is not the same as running 2003 Server. Some planning is necessary.
