A couple of general questions re common Financial Rpeorts:

1. Balance sheet.

When including the line for current earnings (sum of all the Income Statement accounts),
- In the tree, should this range be set as type Income Statement and marked Revenue?
- When dragged into the spreadsheet, the same formulas are created as for the other balance sheet accounts (GLDATA.BAL for current year and GLDATA.BAL_PY for previous year, for example). Should these be changed to the Net Changes formulas (GLDATA.Y and GLDATA.YY in the above cases)? This seems to give the correct results.

2. Income Statement

Do you generally find it is better/easier to:
- Not include a total line for the income statement and make your own (simple) formulas, or
- Include the total line and allow the wrong formula to be created in the spreadsheet, then modify it?

Marking whether an account range is Revenue or Liability controls whether the financial reporter "flips the sign" of the transactions when they are dropped on the statement. In Adagio Ledger (and Adagio FX), credits are stored with a negative sign. If you find that the sign of an account is "wrong" when it is dropped on the sheet, then you usually need to adjust the Revenue/Liability option on the properties.


When dragged into the spreadsheet, the same formulas are created as for the other balance sheet accounts (GLDATA.BAL for current year and GLDATA.BAL_PY for previous year, for example). Should these be changed to the Net Changes formulas (GLDATA.Y and GLDATA.YY in the above cases)?

".BAL" (balance at the end of the current period) and ".Y" (sum of the net changes for the current year) should provide the same results for the P&L accounts, since their opening balance should be $0.00. Am I missing something here?

Do you generally find it is better/easier to:

For me, I always include the total and adjust the formula, because I like to have the row there with the correct formatting. I find that it is easier to edit a single formula and paste it across the statement, than to apply all the various formatting options on an inserted line.

However, that does not work for prior year-to-date. .BAL_PY and .YY do not produce the same results. With .YY, the Balance Sheet balances.

Hi Ralph,

Well, of course the most important thing is that the Balance Sheet balances!

It was never intended that the drag&drop functionality of the financial reporter would lead to a finished statement. We always expected that some adjustments might have to be made to individual cell formulas.

The Drag&Drop is really to save the entry of 100's of similar formulas onto the financial statement. Balance Sheets almost always need some amount of editing. P&L's sometimes work with very few edits.

We actually find that it's easier to just go ahead and go back to the old accpac to print the financial reports that we've become accustomed to.

Hello Robin Rushfield,

Well, if you were printing a large set of different statements, the use of the ACCPAC "Combine" command made printing a set of statements easier than the same process in Adagio Ledger.

However, the recent update to Adagio added the ability to print any set of statements using a single mouse click by defining Statement Groups. You can have as many different groups of statements as you might want (Weekly, Monthly, Departmental...etc.)

You might want to go back and take a look at Adagio Ledger's financial statement designer. Over ACCPAC Plus, it offers:

  • Drill down all the way to the posted detail transactions by clicking the right mouse button on a cell and selecting "Details" from the pop up menu.
  • Export the entire financial statement to Excel, complete with formatting, to e-mail or produce charts.
  • Produce side-by-side departmental comparatives just by selecting the option and choosing the departments you wish to compare.
  • Automatically hide inactive accounts from the statement.
  • Add your company logo to the statements.
  • Use wildcarding to produce statements for a subset of your accounts or departments.
  • Automatically format rows of figures to highlight them based on exception reporting criteria.
  • Produce a spreadsheet of net change results ready to assist people in their budgetting process for the next year.
  • Rearrange columns just by dragging them to the new position.

The best thing is that Adagio Ledger will automatically convert your DOS specifications (use File | Import spec and change the type). Some cleanup of the converted spec might be necessary, but this is an easy process, documented here.
