Hello,

Is there a way to deleted a large number of account/departments in Adagio GL? We have over 100,000 accounts. 30,000 are unused and we would like to get rid of them.

I could not find anything in either Agadio or ACCPAC help on doing this other than deleted departments one by one. Is there a script or utility that can do a batch job like this?

Hi Jeff,

In the current version of Adagio Ledger, you can delete departments and in doing so, are given the opportunity of deleting all accounts associated with that department. Of course if active accounts still exist for the department, then nothing is deleted.

You are correct that multi-select is not enabled on that screen and thus cannot delete a large group of accounts at a single time.

Hi Jeff,

We have had success doing exactly what you are attempting to do. We collapsed a Plus GL with 30,000 accounts down to 1200 accounts.

You want to consider Account Code Change. An add-on product SRP $295 CAD. It would install through Plus WSM, and allows you to wildcard accounts and/or departments into say a closed out account, and then simply delete the account if no activity exists. It creates a batch of entries to be changed and updates all connected modules on the fly when you post the transactions.

If there is activity then you are still left with just one account.

Hi, Thanks for the reply. When I went into try to delete a department the section did not have any departments listed.

When I print a GL Balance sheet I can select departments and the report shows the account and the department.

I went to AccPac and checked the export feature the the file was delimited and had seperate fields for both account number and deparment code.

Currently since no departments are listed we were going to export the GL Accounts again from AccPac and only import need accounts for 2004 (oh and yes we have departments enabled).

Any idea why the departmentd did not import correctly the first time we did it. Thanks.

Hi Jeff,

In both Adagio and Accpac, an 'account' has a key comprised of an account number up to 6 characters and a department number up to 6 characters. At the same time, a separate data file contains a list of 'departments' which should match those found in the Chart of Accounts.

I believe you can add a new account and enter a non-blank department, without requiring that the department already exists before hand. I'm not sure if importing would do the same, but it might. In either case, adding accounts with a department does not create the underlying department code. You may have lots of accounts (with non-blank department portions) but no departments at all.

So if you print the Department list report, this results in a blank file...

For 2004, you will want to manually add the department codes, perhaps before importing accounts.

To answer your last question, importing accounts will not add departments.

Run the data integrity check in Adagio Ledger. It will list all the departments it finds in the GL for which no department has been created in the department file. You can add these department codes manually. After you have added them, you can try deleting the ones you don't want. When you delete the department in the Edit | Departments choice, you will be given an option of deleting all the accounts associated with the department. Say "Yes" and all the accounts will be deleted (assuming they have no activity).

You don't have to wait till the new year. And importing accounts will not automatically set up the required departments.
