I have a client that is a college that will be going live with I/C and P/O shortly.
The client currently uses G/L & A/P. They do not use A/R, Invoices or O/E (they have a non-Adagio custom-written application for this side of their business).
Note that the Items in I/C are used mostly by the college itself during their sessions.

We will bring Qty into the college through the P/O module.

The questions that I have are regarding the usage and consumption of the Qty’s, and how to record this in I/C.

Currently I envision using the Transactions > Shipments to record when stock is consumed.

Questions:
1. In Shipments, after I enter the Items, Location and Qty used, I do not see anywhere to generate a Listing, so that the user can get a printed copy of what we plan to post.
2. There is a Shipments Audit List, but it seems to just grow. Is there no way to just print what was posted this day, as opposed to from Day 1?
3. Any suggestions as how we might be able to record consumption/usage differently?

Definitely, you can use the IC Shipments function to record sales.

The Shipments Audit List can be printed and purged each day to produce a report for just that day. Purging IC audit lists does not affect transaction history. Note that, unless you have the 'Allow audit list purge?' option turned 'on' in the IC Company Profile, Processing Options tab, you will not receive a prompt to purge these.

Or, you could run the Transaction History report, selecting to print just Shipments and use the Sort by fields to restrict the report to printing for a particular day. If you also don't want to allow anyone to accidentally purge the printed transaction history, you will want to turn 'off' the 'Allow history purge?' option in the IC Company Profile, Processing Options tab.

Thank you - "Allow audit list purge?" was not active. (I missed that.)

Another question: Is the "Reorder Data by Location" feature working?
I am entering reorder infomration, clicking the OK button, but nothing is being saved by the system.
Does this have to be activated somewhere? (I am using version 8.1c 101224.)

Hi Samuel,

Re-order data by location is working to the best of our knowledge, using the current release of IC81C that you quoted. This is whether the re-order amounts are entered directly from Editing Items and on the Re-order tab, or from accessing the specific Edit Reorder Data function from Edit / Item Maintenance / Reorder Data. When quantities are entered for reorder at a specific location, records for the location and the item master are updated.

Purchase Orders for Adagio does not support the 'by location' part of reorder data. You have to do this entry through Inventory.

If you have the version of Inventory installed that you indicated, please provide some more information as to the specific steps you are following to not have the quantities saved, such as which program you are using, which function you are using to enter the numbers, and whether the item is active at the location, and if you allow items to be at all locations.

Can you replicate the problem on sample Inventory data?

Allow items at all locations is not turned on.

I am using Edit Items with the I/C module. I am entering Reorder data only for Locations that are Active for the Item we select.

For example, I select Location=48 (one of the Locations) for Item 1234, and record the first row of Reorder information starting 1/1/2011. When I complete the entry, I click OK.
Following this, I reopen the screen for the same Item, select the Location code=48, and the values are all 0, instead of the values that I entered!

And no - I cannot replicate the same issue on Sample Data. Even if I turn Allow Items at all locations off.

Here is one difference that I notice between Sample Data and my data:
- When I click on the Reoder tab on Edit Items, Sample Data automatically displays a Location (in this case, "BC").
- When I click on the Reorder tab on our data, the Location field is blank.

Have you run DIC and does it report errors that it offers to Rebuild? Please do this and let me know if the problem persists.
