I've discovered that our AR sub-ledger prints off outstanding amounts based on todays' values. For example, if I print off an outstanding receivables listing on January 12, 2011 for my December 31, 2010 month end the report doesn't show me who owed what at December 31, 2010 but, rather, what they owe January 12, 2011.

I have an aging report (cutoff December 31, 2010) where I know a customer owed an amount at December 31, 2010 but the report printed in January 2011 doesn't show that he owed at December because he made a payment in early January for his outstanding balance.

Is this a system glitch or it there a setting in the Receivables module that needs to be flagged so that I can actually run an AR aging list as at December 31, 2010 and know that it is accurate and doesn't reflect payments made after December?

Hello Rebecca,

You can print the report you need by selecting Reports | Aged Trial Balance and selecting to "Calculate as of" the date you need.

I've tried that but it includes all transactions from 2011 on the report so the only way to figure out the December 31, 2010 is to subtract the 2011 transactions. I've never had to do that in the past with an accounting system (ie: subtract amounts that are included after my "Calculate as of").

Which report are you printing?
What version of Receivables are you using?

Andrew's comments are specific to the Aged Trial Balance report that is found in Adagio Receivables, and the 'cut-off' works only if you choose the 'Calculate as of' setting. If this report is set instead to 'Age as of', then transactions after the report date will print.

There may be something lost in the translation here, as there are no known problems with the AR Aged Trial Balance report not excluding transactions after the report date if 'Calculate as of' is selected.

I had been printing the Aged Trial Balance using version 8.1A. I then tried printing the same report changing the report option from "aged as of" to "calculate as of" and my totals are still not correct for 2009. I know for a fact that one customer owed a certain amount at December 31, 20009. He isn't showing up on the report regardless of which print specification I use.

When I run the report for 2010 all of my manually calculated receivable balances match with the subledger.

I'm confused at to why the 2009 totals aren't accurate but the 2010 totals are.

Can you see that 2009 transaction for that customer, when using the customer inquiry and the Transactions tab? Or has it been cleared to History or even purged completely from the system?

Reports can only print data that haven't been deleted. If transactions have been purged, then you will never be able to re-print a report as it existed then, regardless of the old date you used.

If you are using Adagio Receivables 8.1A or older, the Aged Trial Balance report will only print 'current' transactions. Once a transaction has been moved to history, you will not be able to re-print an Aged Trial Balance and get that transaction on it, for the same reason as above.

If you are using Adagio Receivables 9.0A or 9.0B, then back-dating a report will attempt to look at the History files in order to recreate the Aged Trial Balance listing as of the report date. This assumes that the transaction still exists and the integrity of the data is clean.

Should you need to perform some additional analysis on your customer information, you may want to get assistance from your Adagio consultant.
