What changes do I need to make to my AR data to ensure a smooth transition to AR9? Currently we are running 8.1A I have heard about format changes, but where can I find a list of what exactly I need to have done before we install the new AR upgrade?

Hi Barb,

Nothing needs to be done, but if you want to have an easy conversion for the new formatted address, then you might want to make sure that the addresses are entered consistently. You can easily export them all to Excel, tidy them there and re-import them. You can find out about all the changes to Receivables by reading the Release note and perhaps reviewing the webinar on the module. You'll probably need to change your statement layout (if you send statements), and the daily procedure for processing cash receipts (if you decide to send cash from AR to Bankrec) may change.

I did check out the Release Notes, as I would like to make the changes to our data base ahead of time. The release notes talk about supporting formatted addresses, but not specifics for this. Can you be more specific? What exactly goes in address 1, 2, 3, 4? An example would be lovely. Are there any changes that should be made to the postal code?

Thanks for any additional info you can give on this.

Hi Barb,

A very simple example would be a customer who has the following address fields 1, 2 and 3 and a postal code:

123 Main Street
Suite #4
Vancouver, BC
V1A 1A1

Because one of the address fields contains a city and a state or province, separated by a comma, it is a candidate for being changable to a 'formatted' address. In Recevables 90A, the address would become:

Street 1: 123 Main Street
Street 2: Suite #4
City: Vancouver
Province: BC
Postal code: V1A 1A1
Country: CANADA

Adagio Receivables 90A will offer to convert your customer addresses to the formatted method - put the 'City, ST' from one of the address fields into new City and State fields - as long as it recognizes how to make the conversion. If any of your address fields contains non-address information (like addition comments or text like 'ATTN: BARB' then the address will remain unformatted and look exactly like it does now.

Essentially, Address 1, 2, 3, 4 are replaced by Street 1, 2, 3 and City, Prov/State and Country.

There are statement specification codes that will enable the above address to print as follows:

123 Main Street
Suite #4
Vancouver, BC V1A 1A1

with the postal/zip code immediately to the right of the city and province/state.

Andrews comments are that if you desire to use formatted addresses for your customer and want to make them consistent ahead of time, ensure that every customer has one of the address fields contain 'City, ST' with a comma, and no non-address comments or text in any of the lines. No changes are required for the postal code.
