I have a balance left in my Order Entry clearning account (used for the interface between AR and OE). On reconciliation I see where one day the AR and OE interface did not agree by $1,500.06.
We have identified this as being a single invoice generated and printed by Order Entry. However while we have a physical printed copy of the invoice, we can not find the invoice in Order Entry. We have the invoice before and after but this number is completed gone. When we look at the order it says completed and shows us the invoice number. We have posted the invoice manually to AR which is why there is a clearing difference.

What could have caused this invoice to disappear from the records?

Check that Opportunistic Locking has been disables on all workstations and the server.

yes Opportunistic locking is disabled. We have been running the programme for three years now. The one mentioned here happened on July 7th 2009.

I was actually wondering if there may have been an electronic reason such as a power surge.

If there were "integrity errors" detected in OE and you did a rebuild it is possible, depending on the level of damage to the data files, that SOME or ALL your orders/invoices could disappear. Adagio's rebuild should be used with extreme caution. The error report should be examined carefully and the rebuild requested once the cause of the errors are understood. Repeated errors are an indications of instability in the installation and should be resolved with the help of your Adagio consultant as quickly as possible.

Well - it's conceivable that someone deleted the order in OrderEntry before it was actually "Invoiced" (since your control account balanced before you made the manual entry to Receivables). It's also possible someone restored OrderEntry (but unlikely).

For only one in a year or more, I'd write it off to "Act of Bill" and make sure it doesn't happen again.
