Can you explain the new spec codes that allow the User ID to print on an invoice?

The release notes mention E127 - last edited by user. I assume this prints the user ID of the last user who edited the invoice.

However, in specification maintenance, there are additional User ID fields, such as "last printed by user (invoice)", last printed by user (credit note)", etc. None of the (credit note) codes seem to work.

What we'd really like is the user ID of the user who CREATED the invoice, not just the user ID of the user who last EDITED the invoice. Management reviews invoices before they are printed, and thus the managemer's user ID will appear on all of the invoices, which is not the desired result.

The spec code for 'Last Edited by User' is E137, not E127 (for others reading this - the release notes and Readme list this field code correctly).

The 'last printed credit note' fields only work when printing a credit note document for a second or subsequent time - they will not print anything on an Invoice document. Similarly, the 'last printed invoice' fields will print information only on a reprint of an invoice, and will be blank if a credit note is printed.

Adagio Invoices does not store the 'Last Created' Date and User on the individual documents, so that is why you cannot print it. We store this information for the user and date that a batch was created, but not for each invoice. This is actually typical of all Adagio programs that the batch entries only keep the Last Edited info and not the Created info. I can forward the request to development as your point is well taken.

Does management have to review invoices by editing them, or would a batch listing be sufficient? Is there something that doesn't print on the batch listing report that they want to see? They could also edit the invoice batch grid if there was particular information that they wanted to ensure was on each invoice.

Yes, management has to review the invoices by editing at least some of them, because they make changes (for example, the invoice may not be subject to sales tax).

Also, it's not that they are interested in seeing who created the invoice while they are reviewing the unposted batch, it's that they want to know months later when a problem arises. So the idea of displaying certain information on the batch grid or listing is not applicable.

The bottom line is that they want to see who did the bulk of the work entering an invoice - so please make the request.

Hi Steve,

How would we determine who did "the bulk of the work"? That's not necessarily the person that created the invoice.

How about using one of the optional fields to record the UserId you are trying to capture? You could also set a rule of one invoice per batch (since we track who create the batch in the batch status grid). Currently there's no room in the data file for this informatino, so this request will have to wait for the next opportunity to do a database conversion.
