Good morning all,

We are presently using IC 8.1A and am attempting to create a worksheet using the Physical Inventory Transaction. When the sheet is printed, all item numbers requested are there but when we try to enter the information from our physical count, the items selected do not show up for entry.

Is there something we're not doing that we should be or visa versa? We select our location, then an item number range, include a reason, include qty on hand, and Create physical inv. adjustment workfile. Hit print! It all comes out fine until we try to enter the count figures and then nothing appears. With some locations, no problem. Hmmmm Confused little glasskeeper here.

Any help would be appreciated.

When this report is printed, you are selecting the correct option to 'create a physical inv. adjustment workfile'. This creates a set of datafiles for each location, and the file names are ICW###'1, ICW###'2 and ICW###'R (where ### is a 3 digit number such as 001, indicating an internally stored reference for the location). These are created in your data directory, and should have file sizes larger than 0 bytes.

If you print the physical inventory worksheet report for each location, and refresh the workfile for every location, you should see a set of 3 files created for each location (as above), with file dates equal to today. Can you confirm that this is the case? Or do you find that some files are not created, not refreshed with today's date, or created but with a size of zero bytes? Knowing what happens could help.

Also, what option are you selecting for items - all items, all allowed at the location, active items, and so on? This could also be important.

Thanks for your response.

As mentioned before, the options selected after the location and item range are as follows:

Include Unit Cost = No
Include reason = Yes
Suppress inactive items = No
Include Qty on Hand = Yes
Create Physical Inv. adjustment workfile = Yes
Create export file = No

I see several files with the naming convention you mentioned. It would be difficult for me to tell you which name is for which location though given they are all digits and our locations have three character names. The last file name is ICWCTL'R.UNS and the first one is named ICW001'1.UNS. There are NO files with less than 1 KB in size.

How would I be able to determine which file is for which location? and ... if I am able to identify a location file, what would you suggest I do with it?

OK, so you chose the 'All items from inv. list' from the 'Select' drop-down? Not 'Items from loc. only' or 'Items active at location'? This will print/select all items, whether or not they are allowed at the location. This could potentially be different on the report than what you are able to enter - the difference being the items not allowed at that location.

If you Edit a Location, highlight the Items tab to display which items are allowed at the location - you will see a value of Yes in the Selected column. Do you see a corrolation between dis-allowed items and what you are able to enter (or not) for physical inventory? If so, perhaps you need to select the 'Items from loc. only' option when printing your pysical inventory report and generating the workfile?

Those numerical values in the file name have an internal correlation to your location codes, but this is stored within the data file and is nothing you can see. If you want to see the correlation, preview the Physical Inventory worksheet for a single location (not all of them) and note which data files get updated to the current date and time.

Don't worry about that file named ICWCTL - it is a control file that keeps track of all locations.

From your original post, you said that for some locations when attempting to Edit the quantities, nothing appears. Does that mean that you have no items, or that some items are there an not others? If you preview the worksheet for just that location, are you able to edit the quantities for that location? And if not, do you see any ICW### data files getting updated with new dates/times?

Ensure that none of your data files are marked 'read-only' and that you have security rights to create and over-write files in your data directory. I presume the security is OK as you have success with some locations, but the 'read-only' could be the cause. Or perhaps this files are locked on the server.

If you want to start from scratch in generating the workfiles (nt in doing the count!), you can try having all users exit Adagio, and remove all of those ICW### and ICWCTL data files to a different folder (I prefer moving files rather than deleting). When you next start Inventory, the ICWCTL files will be re-created. And when you print preview the physical inventory report for all locations, the workfiles ICW### will be re-generated. It should be as simply as that - if you run into any problems then please post the error messages.

OK, Either I'm crazy or something is being lost in translation or ...

I moved all the ICW***.UNS files to another directory. I began creating new worksheets for the PI process. I selected 'Items from loc.' only and then the same check boxes as previously mentioned.

I looked at the directory and saw the creation of the 2 locations I input. I see the items on the preview sheet. I DO NOT see the items when I try to edit the sheet

What the heck? I am thoroughly confused now.

This shouldn't be as difficult as it seems.

I guess I have to make the dreaded call to see if anyone can recreate my problem and help me.
