We have 700 items in IC that are old codes, no longer being used, that we want to delete off our system to help clean up our data. Is there a way to do this faster than finding and deleting each one individually?

I assume that the answer to this question is, "no"?

I can search in Item Maintenance using Find and F6 to find all the inactive items. Each time however, I have to select the item, close the details, delete the item, then Find and F6 again. I suppose it might be easier to open 2 Adagio Inventory windows and put them side by side and maybe just scroll and delete.

Can deleting codes be done with import/export?

Hi Susan,

Sorry, the answer to both questions is "no".

Sometimes our users buy one of the item number changers and use its facility to combine all the old items into an "obsolete item" part number. This keeps OrderEntry history and SalesAnalysis happy.

Hi Susan

Andrew is apologetic, but actually it's not a good idea to delete inactive items. It tends to cause data corruption in OE or PO if the items are on a historical invoice or PO.

It is much better to use an Item Number change utility to merge these inactive items into a dummy item called "Deleted Item". Actually it is better to have a series of dummy items, one for each stocking unit of measure.

The Item Number change utility by Dakota Software - http://www.dakotasoftware.com/toolkit.html - lets you import items to be merged from an Excel spreadsheet, so you don't have to do it one by one. That product was just released, so your reseller may not yet know about it. I notice that the utility can also mass delete items, but again I'm not sure it's a great idea.

I noticed that even though an item is marked inactive, it simply warns the user that it is inactive and does not prevent it from being selected for sale. Is there any way that the item can be prevented from being selected?

Hello CPS,

Without wanting to sound flippant, ask your operators to read the messages being displayed.

When you make an item inactive, it is sometimes useful to change the description to "*** DO NOT USE ***". This usually makes it clearer to the people entering orders.

Further to Andrew's suggestion about changing the description, if an item has been replaced by a newer one, the description of the inactive one could be something like "Discontinued - use # SBC-23456/7."

If you really want to reinforce the message, you can add an Alert so that a warning dialogue box pops up each time the item is selected. That would be 2 warnings that the user will see when an Inactive item is selected.

Perhaps a future release of Inventory will hide Inactive items at the OE stage so that they can't possibly be selected. But for now, the suggestions here are your best approach.

Back to this thread regarding deleting items. I now have 1,000 obsolete items that I have renamed using Dakota's Toolkit to item codes starting with ZZ and in a separate category called ZZ. I would like to speed up our inventory searches by removing these 1,000 items or merging them to 1 item code. Most if not all of these items are on historical documents. What is the best way to handle this? Toolkit's delete items doesn't seem to work I'm assuming because the items are on historical documents. If I merge all these items to one item code, will this prevent integrity errors? Do I accomplish this using Toolkit's Inventory "combine into"? Can I combine 1,000 items into the same code in 1 post with Toolkit? Or do I have to post them one at a time??

The Toolkit won't let you delete an item that is in use. There are a variety of checks, including historical documents. You can combine those items into 1, but then your historical documents will all reference that 1 item.
