An item is considered 'active' in the Physical Inventory function if any of the quantities for that item and location are not zero. This includes Quantity on Hand, Qty on Purchase Order, or Qty on Sales Order. Using this setting, you can avoid printing items that are effectively not in use.

This setting has nothing to do with deleting items. Adagio Inventory does protect against deleting items that have any positive quantities, but there isn't an 'Active' setting for an item (an interesting idea though...).

I have heard that for 'discontinued items', it is better to edit the Description to something like 'Discontinued', rather than deleting the item. That way other programs that keep Sales History can still find the item. Only when all references to the old items are gone would it be 'safe' to delete items.
