When I print a g/l listing to an excel file now it merges all sorts of columns, and formats the rows fancy so there's 2 skinny rows between every row of numbers. It looks nice, but it makes it hard to work with the excel file. I think we heard at the training last fall that new formatting was coming to let us print across fiscal years. If that's the case, it is nice to be able to view accounts across fiscal years. However, is there a way to print to an excel file (when there is no excel direct button) that would lose the fancy formatting and make the file more manageable to use for analysis etc? Thank you.

Hi EMB

Don't print to file, instead Preview the report. Then click on the top left button (it looks like a pad of paper with an arrow coming out of the top). Change the "Save as type" to an Excel format that says "Data-only" at the end. When you click on Save it will save the Excel file.

Although the results are ugly, it's much easier to work with them.

If you are just looking for the transaction data in Excel, just use the export transaction function. Then you don't have to clean up all the headers, footers, and subtotals.

I would LOVE it if someone would send us some examples of what they are actually doing with these GL Detail Listings in Excel.

I use this for different reconciliations. 1 example - we have an event with 200+ registrants. The registrations come through Adobe Forms. That listing did not agree to our G/L, after adjusting for receivables, so I exported the G/L, sorted it so it matched up to Adobe Forms, and found the difference.

OK, I understand.

But wouldn't it be easier and faster to select the account in View Transactions / Budgets and use the ExcelDirect button to drop all the transactions into and Excel table that can be easily sorted and Filtered?

I haven't used the View Transaction/Budgets much, but am looking at it now. As another example, now I need just the expense balances for 1 Dept (we have many), to get the change in accounts to file a claim for a particular period. I can see that I can filter for just 1 Dept and get the Mar 31st balances (or any other month end). I then still fuss with that report a bit to exclude the Balance Sheet Accounts, but it does seem to be less fussing than what I was doing. Thanks. And remember - we're all a work-in-process!

Indeed!

So - to get the balances at the end of a period for a specific department, I'd select the period I needed in the View Transactions/ Budgets grid and click the ExcelDirect button. Then, in the Excel table, I'd Filter to excluded everything but the department I was interested in (assuming you don't have any departments on your balance sheet accounts). If your balance sheet is departmentalized, then Filter the income accounts first, then the department you need.

I think you'll find this WAY faster than tinkering with exporting either the Detail Listing or the Trial Balance.
