As part of our year end process we have to produce a listing of all purchases in excess of $10,000 for our Board. I've reviewed the reports available in the AP module but I can't see a specification that allows me to limit the information to only those vendors where we paid them more than $10,000. Is this available somewhere?

Hi Rebecca

Although there is no standard report that does this, there are many ways to handle it.

I'm going to assume that the $10,000 is annual figure, not an individual payment.

Assuming you are running AP year-end at the proper time, you can do a SmartFinder search for all vendors with "Inv Amt - LY" greater than or equal to $10,000. If you don't know how to use the SmartFinder search as a report writer, this is a perfect excuse to learn - it's one of the best overlooked features in all of Adagio.

Another possibility is to use GridView or Crystal Reports if you have either of those. It's a bit complicated to explain in this reply, but it's not that hard.

Finally, you can preview the Vendor Transaction report for the date range in question, checking off only Checks. Once you have the previewed report on screen, you can export it to Excel, and then delete all but the qualifying vendors. It's a bit tedious, but not too bad.

If you are using version 8.1C of Adagio Payables, you could also follow a similar process to SmartFinders,using Vendor Filters. You could create a filter (in exactly the same way as SmartFinders, as Steve outlined), and on the Edit Vendors screen select that filter to show only those vendors with at least 10,000 for the year. Then an Excel Direct button can be used to output the results to an Excel spreadsheet to print or use for further analysis.

I've tried to figure out how to set up a special filter in the AP module but I can't seem to figure it out. I opened Smartfinder but there are only pre-set filters. How do I add a new one?

Rebecca - you should try the help screens, look at your manual or watch the recorded webinars at http://www.softrak.com/support/training/webinars.php

You will learn how to get the most out of the SmartFinder and Filter functions, and you will learn a lot more about Adagio.

Or if these options don't appeal to you, you can ask your Adagio consultant.

I don't work for Softrak but it seems to me to be "beyond the call of duty" for Softrak Support to answer questions on a support forum that are available in Softrak's prepared material, just by looking.

I have paid the fee that provides support on this forum. I'm going to use it however I feel is necessary for me to do my job while using this software package.

I do attend webinars but haven't attended one on the filter option and, quite honestly, I just don't have the time right now which is why I asked the question.

As for the manuals, I find them incredibly brief and not overly useful. The same goes for the 'help' feature which I also don't find very helpful or user friendly. If there is actually a more detailed manual available, that provides step by step instructions, then I'm all for reading that instead.

Hi Rebecca,

If you are using Adagio Payables 8.1C, then you can go to the Edit menu and access the Vendor Filters function. This is the place where you can create the rules for selecting vendors, giving each filter rule a title and optionally applying a colour/font Style if desired.

Use the Apply Styles function to process which vendors belong to which rules and add colour/font the vendor grids.

When editing or viewing Vendors, a filter drop-down is available at the top of the screen for selection. You can also process which vendors belong to that rule directly from here.

Some Adagio programs have a 'WatchMe' available from the website to demonstrate new features. Adagio Payables doesn't have one yet, but the WatchMe for Adagio Receivables demonstrates how to set up Filters and Styles for customers, and Payables vendors would be the same. This video is 8 minutes long, with the Filters demo being the first 2 minutes.

Thank you. I realized that we didn't have AP 8.1C loaded which was why I couldn't find the filter feature. I'll have a quick look at the 'watchme' to see if it can quickly help me figure out what I need.
