Maria:

This is the link to the Ledger manual: Ledger 9.0 manual

If you look at page 138 (chapter 4, page 30), you will see detailed notes. But you should also look at the sample data that comes with Ledger. It will have both pre-defined templates and sample import files. Try them out.

If you still have questions, post further but tell us your version of Ledger and specifics about the file you are planning to import (source?, format?).

Hi Maria,
We do a lot of importing of batches in all modules for ourselves, clients, and other dealers.

We usually recommend CSV and have found using the CSV format is a better file format than Excel (XLS)

It's not that Excel doesn't work, it's just that you have to ensure that you are using (on your desktop) the very same Excel format as being imported, and XLS 2003 is different from Excel 5 (or 97), or 2008, or the recent Beta Office 2010. The control characters within the various XLS layouts can make troubleshooting the import process a long and painful journey, whereas the CSV data is without control characters. And time is money.

We would suggest that you format the file layout in Excel but save the Excel file as a CSV (comma separated Delimiter) which Excel can do when you choose the file type, and do the import using CSV. You can still edit the file layout in the CSV file format, and save it too. We also find the import speed to be much faster in CSV.

Your dealer should be able to help you, or call Bruce or us if you are still have problems.

Regards,
Brian
