1. How do I clear a posting journal? I tried to unpost my latest batch since it posted to the wrong period, and a litle message popped up telling me I had to print and clear the posting journals before I could unpost the batch. So I printed out all the batches (YTD) but I can't figure out how to clear the batches.
2. Once the posting journals are cleared, can I still have access to them, or have they disappeared forever?

Hi, Anna,

From the main menu, select Post, Print Posting Journal and Print Unpost Journal. Make sure you use the Print button to print with - whether you print to an actual printer, a PDF driver or to a file.

When prompted, say 'Yes' to clearing/purging the posting journal.

Once cleared, the posting journals are gone forever (which is why "printing" them to a PDF file or paper is a pretty good idea).

Thanks, Andrew. That worked.

I think it would be better if the unpost journal function could be used without having to clear all the posting journals. I usually print monthly for my own purposes and then print the entire year at year-end, because my auditor wants a copy. Then I clear them. Now, I will have to save the posting jornals, 5 months worth, that I just printed out and add them to the rest of the journals at March 31st year-end for the auditor.

Hi Anna,

Unposting can be used without having to print and purge all of the posting journals. Only the specific 'Unposted batches posting journal' needs to be purged - all of the other posting journals such as for regular batch posting can be left intact.

Additionally, this journal only needs to be purged if the 'delete from posted transactions' option was selected, for audit purposes. If the type of unpost does not require deleting the originally posted transactions then no audit report requires purging before another batch can be unposted.

Indeed you should keep all of your regular posting journals until year end.

Hi, Anna,

Just to be clear, the only posting journal you are purging here is the unpost journal. The current, prior year and next year journals are all maintained (unless purged of course).

Normally, unposting is performed far less frequently than regular posting. You could print thi journal to paper, PDF or another file and maintain it for your year end as Andrew suggests.
