I would like to add account numbers to our checks (purchasing, policy, display's and such). I went to A/P maint. specif. and I see where I can add the acct #'s (there is room on our checks). I not sure what it would be under. I tried vendor control account settings, g/l account doesn't work. In A/P under the vendor #. I went to the accounting tab and I need to add the acct/dept. Does anyone know where that is on specification codes list?

Hi jhenry,

If you are looking to add the Expense accounts for check (cash invoice) details, these are the 'G' codes found in the Advice Body section of the field list. These should be inserted into a specific 'Advice Detail - Cash' section of the specification, because details for cash invoices differ than those for Payments of invoices. The expense account is G01, and the tax GL account is G06, for tax included purchases.

If this isn't the information you were looking for, please indicate which account(s) you wanted to print on the form.

Sorry for the delay. I did check out the video. I did as the video suggested. I went in the "Advice Body" and tried G01,G06,G07,G08. It did not work. It wasn't overlapping any item that I had in that row (Advice Detail). Could it be there wasn't any room left for what I needed? I would like to put the acct/dept. on only our remit's that we keep on the check. As to which accounts that I would like, well that would be all. Everything I punch in A/P I do a check for. We have numerous (600 +) acct # and several departments. Our checks have the company remits, customer remits, then check.
I guess I should ask if this is something that can be done?

Hi,

There are two types of Advice Detail sections. Right click on the section bar for the one you've added the G codes to. In the Detail type field, does it say Advice body (detail) or Advice body (cash). The G codes go in the Advice bode (cash) sections.

Your Adagio consultant is proficient in helping you use the check designer.

I tried the cash section. did not work. I will have to get in touch with our consultant.

Did you change the display name for the specification when you were making changes? I have sometimes made the mistake of printing the spec I started with rather than the new one I was editing when I forgot to change the name. Add a memo field to the cheque body with some text in it to make sure you are printing the right form.

The display name of the specification is in the File Options menu choice.

Hi JHenry:

When you issue cheques, are they of the type "Payment" or "Cash Invoice"? A "Payment" transaction is applied against invoices previously entered through the "Invoices" batch list. A "Cash Invoice" payment is not based on previously entered invoices but it allows you to enter GL accounts as part creating the payment.

Only a Cash Invoice payment can show GL account numbers. It sounds as if you might be issuing "Payment" cheques.

Support described a section called "Advice Detail - Cash" into which you would place the "G" codes. Even if you've done that correctly, that section will never be used unless you issue "Cash Invoice" payments.
