I am trying to export the G/L to excel and I get the error message Error: Data May be Lost. It only exports about a quarter of the data. How do I fix this?

Perhaps you have more than 65535 rows of data?

What are you trying to get to Excel? Transactions or a Trial Balance? It is often easier to use the financial reporter to get this kind of data out to Excel.

If your accountant is looking for the data in Excel format to retrieve into Caseware, then let them know that Caseware is capable of directly retrieving your Adagio data.

How are you exporting data? From a report, or the Export Accounts function, or an Excel Direct smartfinder?

If you are using an Export functions such as Accounts or Batches, you may get the 'error - data may be lost' if you have Excel 2007 because the created exported Excel file is a low-version file (so we don't prevent people with older versions of Office to use the function). There should not be any loss of data, unless there are more than 65535 records as mentioned above.

I have a number of clients who get this message, and many others who don't. I've never been able to figure out a reason.

In all cases I've seen, the only data that is lost is the first column. Usually (at least in the case of GL) this is not a very important column. So my clients live with it.

The fact was is that there was more that 65000 entries and I wasn't operating a current enough version of Excel. Many thanks for the help.

You could export the GL in logical sections like: Assets, Liabilities & Equity, Revenues, Expenses.

That's an Excel thing because of the 'version' of the Excel file that Adagio exports to. Typically nothing is lost and you can ignore it - I haven't run across a scenario that data was lost unless more that 65000 rows were meant to be exported.

This error message has been in existence for years (well okay in recent memory which is preatty good):)

Adagio exports to Excel v2.x (or some very old version of Excel). When Excel opens the file it no longer support this version and that is the error message it displays. Not sure what might be lost, I've never found anything missing.

This version of Excel has a record limitation (16,000 I think). If you export more records then these are lost. The solution is to either use GridView (hich uses a current version of Excel) or to do the exports in logical chunks as Ralph suggests.

When is Adagio going to export files to Excel that are compatibile with datasets over 65000 rows?

Client does not want to use GridView as it is too slow for their dataset (running locally on a brand new RDP server so hardware is not the issue). 800,000+ ledger records. 1.5 minutes to run a querry on ledger transactions.

What are they going to do with 800,000+ records? 10,000 records / second doesn't seem too bad to me.

If this is for their auditors, and their auditors are using Caseware, then no export is required.

As a follow on:

If you export the transactions to Excel using File | Export | Transactions you need to change the default file extension from .XLS to .XLSX if you want to export more than 65,535 rows. Works fine. GridView ExcelDirect works fine too.

Exporting from Crystal Reports will not change. It is not designed for this type of operation.
