We are in the process of renumbering all our inventory items and need to do a download of our inventory items and make the changes then do an upload. Last time we tried this it did not work properly. Would you please tell me the proper steps we need to take.

Hi Gail:

Is your intention to replace item ABC with item code XYZ (ie. ABC ceases to exist)? Or are you leaving ABC there and adding a new item coded XYZ?

If the former, export/import won't work. You need a code changer module that will search for all occurences of ABC and change them to XYZ.

If the latter, could you tell us in what way it didn't work the last time?

The up-load would be used to add new accounts and modify existing accounts. Ther modification would be to add costs, change prices, etc.

The last time it was tried we corrupted the data. It became a data integrity issue. The last time we tried the up-load, we were adding items (quantities) to IC.

Hi Gail:

For new items, the basic requirements are:
-Item code
-Description
-Category
-Stock Unit of Measure
-Account Set
-Base (selling) Price

I would export some items using those fields plus any others that you use. Create the file in Excel format then modify the file in Excel to add new items using the existing lines as a sample. Delete the sample lines and import the file.

NB: Do a backup before importing!

As for existing items, it is impossible to import Actual Costs or Actual Quantities so that that removes a source of damaged data.

I would export only the fields I want to change. Keep the file as simple as possible. If the field is listed on Import screen, it should be possible to import it without causing a problem.

If you are in doubt, tell us the fields you plan to import.
