Inactive Accounts in View

In the Ledger, if I select the "view" button I have the option of downloading the trial balance to excel. How do I generate that report to exclude inactive accounts?

Hi Tricia80,

If you double-click on the grey title bar of the View grid, this will open the Column Editor. Here, there is a setting to show 'Active records only'. Selecting this would hide the inactive accounts from the grid.

Alternatively, if you are running a relatively recent release of Adagio Ledger, you can print the Trial Balance report directly to Excel. Ensure that the Company Profile and User Preferences both have ExcelDirect Printing enabled. If so then the Trial Balance report will have a green X button that can send the report to Excel. This process would give much more control over the report results as compared to exporting the account list grid to Excel.

I do have the version with the green x button, the issue I'm having is that it doesn't exclude inactive accounts.

Hi Tricia80,

The Trial Balance report has an option to Include Inactive Accounts. If you remove this option selection, then either printing the Trial Balance report or using the ExcelDirect Print feature correctly excludes accounts that are not set as Active.

This is different than accessing the Account list from the View button on the toolbar, which is what I believe you were asking about in your original question. If this is the way you wanted to get the active account list from the grid into Excel, you need to follow the first step and open the Column Editor to show Active Records Only.

Hi Tricia:

What is your definition of Inactive? Is it (1) the account has no check-mark on the "Account Active?" setting or (2) the balance is $0.00? Support's answer was for the first circumstance.
