hide inactive departments in financial reporter

hide inactive departments in financial reporter - 11/04/11 11:38 AM

Many of our clients have multiple inactive departments. Hiding inactive departments works nicely in the grids but does not hide inactive departments in the financial reporter. Clicking the "hide inactive" does not work when using .RangeDept in the spec file. Is there a way to ignore inactive departments in a range?

Hi Lyndon,

Which version of Adagio Ledger is in use?

To hide inactive departments in the financial reporter, Ledger 9.0D has a specific feature to do this. Open the View Departments window from the View menu, and you will see inactive departments marked with a red circle icon. Then right-click on this screen to 'Hide inactive'. Now inactive departments will not be visible on drop-down fields. You can 'Show inactive' to bring them back.

There is an additional option on reports Statement Groups to 'Skip inactive departments' if you have chosen the option to 'print all departments'.

To see how this works, you can watch the New release video on the Ledger product page for version 9.0D.

I have 9.0D installed. The hide inactive departments is selected in the department view in financial reporter. The inactive departments do not show in the department view window, nor do they show in the drop-down menu but they still appear in my department summary financial statement.

The feature works fine with departmental printing it is when I am using the .RangeDept in the spec file that it does not skip that department.

I suspect that suppressing inactive departments goes outside the current parameters of using RangeDept in financial statements.

That is unfortunate.

Hi Lyndon,

Surely inactive departments have no activity and can therefore be easily suppressed using the "suppress zero rows" option?

Re: hide inactive departments in financial reporter - 11/07/11 05:09 AM

True, that does work. It also hides active departments with no activity, however. So if a client as a small project where no funds have been received and no funds have been spent and you zero suppress, it will not show up. The only way around this is to include budget numbers in the departmental summary so that at least the budgets are not zero.

Aren't the budget numbers useful in the summary?

Ignoring inactive departments would also suppress those that might have a balance. We'll note the request though.

Re: hide inactive departments in financial reporter - 11/07/11 07:42 AM

We were trying to keep the Departmental summary clean and simple because we always print the departmental summary and then print the budget variance reports for all "active" departments to provide further detail. The summary was simply to see at a glance where the client is at. We had considered putting in the budget information and then hiding it when printed, but zero suppress does not look at hidden columns. So our solution now is to include the budget numbers so that zero suppress does not blank out an active department.

OK. We'll look at extending the suppression of inactive departments to the .Rangedept command.

How do you make the "hide inactive departments" stick? I noticed that once you exit the Financial Reporter and come back in, the departments do not stay hidden.
