A/R out of balance to G/L

A/R out of balance to G/L - 08/09/19 04:24 PM

Hi,

Has anyone run across an import file glitching and dropping part of the transaction? The customer A/R subledger account is the correct balance, but the transaction doesn't seem to have been recorded in the overall A/R subledger balance. There is a corresponding difference between the A/R module and the G/L module. When double clicking on the transaction in the customer's account within the A/R module, there is no G/L distribution on that transaction.

Thanks, and have a great weekend!

Are we talking about importing transactions or retrieving them from another Adagio application?

The most common cause of this is that you have coded a transaction to the AR Control account so both the debit and credit have hit the same account in Ledger. There is an option in the company profile to prevent this from happening (although it may not be checked during an import).

Hi Andrew,

We have already prevented posting to the control account in the A/R module. The error occurred during importing transactions with a CSV file. I believe that there was an error on the load file into the A/R module - it gave the person an error message at the time, so she thought it didn't post to the customer's A/R subledger account and so re-posted the transaction with a corrected load file. When she then checked the customer's account, the transaction was posted twice. The original posting is the one that seems to be causing the issue though.

This is not an issue that is easily solved in the forum. You should contact your Adagio consultant for assistance so they can look directly at the data to determine the issue.

Hi Holiday,

You will have to do an AR Adjustment for the original entry or entries to the Customers accounts affected, make sure you do not have any retrievals to GL pending when you post the adjustment batch. Retrieve into GL and delete same. This will re-align your AR to the GL. ..

This is heavy lifting and as Dan mentioned you may need to get assistance from your Adagio Consultant.

Another very important question I have, If you are importing information into your AR, you must not AUTO POST, allow the responsible user to PRINT the batch and double check BEFORE POST. Never automate this process, don't care how FOOL PROOF you may think.

Your problem is a simple fix....now that you have found the exact error causing your GL Control Account to differ from the Sub Ledger.
