I have tried all the steps as per my previous topic post re: error:"Random access to unknown records".I cpoied the data to a stand alone machine and rewrote the report from scratch.It has just come up with the same error as the old report.The versions of Accpac Plus are:
AR 6.1A
IC 6.1B
GL 6.1A
Sales Analisys 6.1A
All latest PTF's for above modules have been loaded.Help I don't know what to do any more!

Thank you for the information. This means that the network is not part of the problem, nor is the report.

Assuming that your data passes a data integrity check, there are 3 more things you should try.

1) Try your report on sample data. What you would do is open the report and run the Verify Database function to point to the sample data directory (usually \asp\samdata and data extension sam). You may have to 'create' a new company with the sample data settings withing Quik Reports for Windows. Having the report run without the Random Access error would indicate that your data is part of the problem.

2) Put a selection formula based on date into your report (temporarily). Because Quik Reports for Windows is based on the Crystal 4 print engine, there are some known issues when more than 65,000 records are selected for the report. If you have a large database (as Sales report-based data sets tend to be), put into the Record Selection formula the syntax Date in MonthtoDate. This would only select sales transactions for this month. It should also limit the data to less than 65,000 records, and success would indicate the size of your data is part of the problem.

3) Are you able to print preview the report, but not able to print to paper? If you are able to print preview (and the 'Save data with Report' is not selected), that means that the data is being successfully read from your Accpac database. The problem may be related to how the information is sent to the printer.

3a) Is your Sales Analysis from Accpac International or Softrak? If it is AI's Sales Analysis, make sure you are using the SA6.x table for your report. If it is Softrak's Sales Analysis, you must use the SA6.1A table.

Thank you for your respnonse.The report print previews fine this error only appears once you change print settings or when you want to physically print to papaer,I would thus assume that the data is fine as well as the report itself.You mention that it may be the way the report is sent to the printer pls explain.Is it possible for me to mail you my clients data base and the report so you can have a look at it?

Hi Desmond,

Quik Reports for Windows uses the printer drivers defined on the workstation for both the print preview and printing to paper. I would agree with you that if the print preview is OK, then the data and report are both fine.

My reference to printer settings is things such as time-outs, proper network connections, cables, and things of that sort. Printer hardware and network settings are not our forte in this regard.

Does this happen for every report you have, or only specific ones? If the latter, which programs are those reports based on? Can you test this with a different printer or printer driver?

Also, what happens with the report pointing at different data? The same?

Another thing to check is the version of the crpe.dll file, stored in the c:\windows\system directory.

We install a version 4.0.1.5 and a file date 10/2/1995. If you have a later version, due to the install of another program that utilizes Crystal Reports (such as Crystal Info, etc), this could also be the issue. Apparently the print preview uses some different functions than the print to paper.
