I've been asked to create a balance sheet. We never created it when we first set up adagio years ago.

I've created the account groups and dropped them onto the blank statement - looks good, except...... I can't figure out how to get the year-to-date surplus/loss into the equity section.

How do I include a YTD suplus/loss line in the equity section?

The YTD surplus/Loss is simply the current balance for all account that make up your income statement.

In column B include the entire range, such as 4000:9999

In which ever column you have your amounts in use the same formula to return the balance.

In my Equity account group, I defined a range to include all revenues and expenses. The range properties are:
Name - YTD Surplus (Deficit)
Range - 70000:90000 - all our revenue and expense accounts
Select Type - I set it to Retained Earnings
did not select "enable detail"
did not tick off the "include total line"
I did tick off Liability, but have tried not ticking it off.

Still nothing appears when I drop it into the statement.

You don't need to define an account range in your equity group if the rest of the statement is built. On the row you created for YTD Surplus/Deficit, just type the account range 70000:90000 directly into the cell in column B and then copy and paste the formulas from the cells in another detail row above it like Doug said.

Hello Marc,

There are several sample Balance Sheets shipped with the Adagio Sample Data. You'll find the sample data in x:\Softrak\Ledger\Samdata\*.SAM where x: is the drive letter you installed Adagio to.

Open the Statement Groups (View | Statement Groups) and right mouse click on the entry "Balance Sheets" to print them all out (or export them to an Excel Workbook.

Take a look at the samples and decide which one has the kind of line you are trying to create. Then, open the sample statement and see how it's done.

It sounds like you created your initial Balance Sheet by using the drag-and-drop facility in the Financial Reporter. Once you have dropped the initial range of accounts on the sheet, you should close the Account Groups and edit the Financial Statement directly. Once you have let go of the account groups, there is no further relationship between the Account Groups and the financial statement you are building.

Thanks everyone.

Turns out I should have mentioned the use of departments for revenues and expenses, (but no departments for balance sheet accounts). Sorry 'bout that.

The formula that was generated when I dropped in the revenue and expense accounts was '70000:99999-` and should have been `70000:99999-* to get the numbers for all the departments. The nuaunces an occasional user would never know. :-)

I did end up modifing one of the sample statments as Andrew suggested, as well as fixing the one I created via drag-and-drop method using the account groups. Both work perfectly now.
