Hi Everybody,

Forgive me if this question has been asked before, but I can't find the solution.

Are there discrete City and Province fields for addresses like the ZIP/Postal code field? When I go to my specifications in Maintain Specs, there appears to be fields for these. They are called C47 and C48. How do I enable these?

thanks!
Lucas

Hi Lucas,

If you use Adagio Receivables version 9.0A or later, it is possible to use 'Formatted addresses' on customers to put the city and province into discrete fields. The spec codes C47 and C48 in OrderEntry specifications will read the customer record to get that information.

Currently, OrderEntry does not yet support formatted addresses within documents, such as for the Bill-to and Ship-to addresses. Thus there are no codes to print a discrete City or Province from within an order, invoice or credit note.

There is a plan for the future to incorporate formatted addresses on OE documents, but we're not there yet.

I see, so if I enter the formatted addresses into AR, how will they appear in OE? Aren't those linked?

Hi Lucas,

If you define a customer to use 'Formatted addresses', not only are the city and province saved distinctly, but they are also saved in a 'City, Province' format in a hidden 'address line 4' field. When an OE order is created for such a customer, the discrete City and Province fields are ignored, and instead Address line 3 in the bill-to and ship-to areas are populated with 'City, Province'. And Address line 4 instead, if all other address lines for the customer are non-blank.

There are different spec codes available for printing the address from the customer directly, or printing the bill-to or ship-to address from the OE document. You can use the 'All' sample spec to preview what prints for the various address field codes.

So indeed the addresses are linked as you say. OE just has some logic defined in how to read the addresses in a different way, until such time that Formatted addresses are directly supported on the OE documents.

Thank you, this helps. One thing though, I cannot check the Format Addresses check box. How do define the customer to use a formatted address?

It must be allowed in the AR company profile.

My Ship-Tos are formatted as well, but the Postal Code isn't being concatenated with the City and Province. The only options I have for fields in the Specification Maintenance tool are the standard Ship-To address or compressed Ship-To addresses. The Postal Code prints on the Address field below the City and Province, which is not Canada Post standard. Is there some way I can fix this?

Hi Lucas,

The answer is the same as from my first post on Dec 10. Order Entry documents do not yet store formatted addresses, thus there are no available specification codes to print Formatted addresses for Ship To (or Bill To) addresses. A future release of Order Entry will support format-able addresses directly on OE documents.

The workaround for now is to edit the ship-to address record(s) and enter the postal code in the same address field as the city and province. And on your specification, do not put the postal code field on the spec - it will get printed using the set of 4 address codes instead. Don't use the Compressed address fields on the spec, as this may end up printing the postal code twice.

This is not a perfect workaround, and the ship-to address layout must be standardized to avoid printing blank rows as much as possible.

Hello Lucas,

Formatted Addresses have been added to Adagio OrderEntry 9.3A (2017.12.04).
