I was recently connected with a client and they conveyed their frustration with the current limitations of how items on quotes in Sales CQ are transferred to Order Entry as orders.

When they create a quote for a new customer it often contains a couple dozen items. The customer will then order 2 or 3 items from that quote so it is transferred from Sales CQ to Order Entry so the pricing that was quoted for this customer is accurate. There is currently no way for them to select only the details the customer is purchasing at this time off the quote to transfer to Order Entry, it is all or nothing. This is a problem when they go to print the invoice it ends up being 4-6 pages for only 2 or 3 items because all of the items on the original quote print. They say this is not a big deal when there are only a dozen items on the quote and there are some instances where they do want to show all the details. But for the most part they would like to only print the details that are being shipped and therefore invoiced. There are plenty of items that they will quote on that they will never sell to that customer, so it is cumbersome for those items to appear on the invoice.

What they would like is the ability to select which items are to be transferred from the quote in Sales CQ to the order in Order Entry. I have been told that this has been requested before but they are still waiting for a change. This will allow them to only choose items off the quote that the customer is actually going to purchase. Deleting the line items off the sales order is not a solution due to the volume of items on the quote and the volume of orders they process.

Good suggestion! In our case, we'll do a quote for a construction project but the customer may not want everything at once. They'll want some things in the 1st week, more in the second week, and the remainder in the third. As Lauren asks, it would be nice to select what is to be ordered without having to do the all or nothing. Never thought of suggesting this because it isn't a regular occurrence for us, but I could see how annoying it would be if it happened more often.

Lauren,

If we were to turn it into an interactive process with more dialogs, it will certainly impact the time it takes to create a sales order from a quote. There are many users with lots of quotes to process. It’s also been suggested to create items on the fly. Perhaps we leave it up the user to choose their method.

Hi Bob,

I could see how that could become time consuming for a majority of the users who want to transfer over all of the details on a sales quote. What if the first dialog box was something along the lines of "Do you want to transfer all of the details to OE?" Yes/No. If the user selects 'Yes' then the process proceeds as normal. If the user selects 'No' it takes them into some sort of dialog box that allows them to Select All, Select None, tick on/off the items that they want to transfer to Order Entry. If you are afraid of adding an extra dialog box for the users who always want to transfer all details to Order Entry, maybe the answer is to add a setting in the Company Profile which would be 'Ask user if they want to send all items on quote to OE'. The default setting could be off so that most of the users are not disrupted by this addition. If this option is enabled then users are asked the question above.

For the many users who always transfer all items on a quote, a company profile that turns this feature on would be appropriate. Otherwise those users will find the new question annoying.
