Currently if a staff has no access to make changess in AR or AP accounts, she also cannot put in alerts. Can this Alert feature be exempt from this set up?

Hi Kitty:
Currently if a user doesn't have rights to edit Customers, you can give them access to edit just the Customer Notes. Payables has a similar feature. However neither capability applies to Alerts. A user needs full rights to Customers/Vendors to edit Alerts.

Having said that, the Note capability was added in response to user feedback on the Forum, among other places. This is the place to plead your case. smile

Well, the note Alert is a great tool to communicate within the organization. But without the full participation of all staff, it's not going to be very efficient as every staff will have certain involvement with AR or AP accounts.

Is it sufficient that if a user has access to update the notes, then they should also have access to edit the Alerts? (This would also mean that they can delete them too.)

If each user is only allowed to modify the Alert notes that are initiallly created by themselves. Then this may be able to eliminate the chance of other users deleting or changing somebody's Alert notes. Is this possible?

Well, it's software. Anything is possible. But users with access to the Customer Notes are not restricted to just editing their own notes. They can edit any of the notes on the customer file. Having a restriction like this usually means adding another option, because others find the rule too restrictive. For example, some people use specific UserId's for collection notes, so that they can be separately printed on the Overdue Receivables report.

Still, it's a reasonable suggestion. I think partly the security issue is dependent on what you are using Notes & Alerts for in your internal business process.
