We use GL, AR, AP, and FX. We have 2 lanpaks and on average 4-5 users in the system. Currently FX will not allow us to log on more than 1 user. Second user gets error message saying that users have been exceeded. Pls help

I double checked and the second person can actually log into FX but cannot open financial reporter, it says the reporter is currently in use by the other person. Our purpose for acquiring FX was to be able to have departmental managers access their departmental financial data without having to come to admin for print outs. We have 10+ departments that need to see their data and often they will be in the financial reporter at the same time. How do we resolve this?

Hi Tom,

Are the users running 'Maintain Financial Reports' from the Maintenance menu, or Print Financial Reports from the Print menu? Only one person can be in the 'Maintain' mode (full edit access), but you should be allowed multiple users in the 'Print only' mode.

There is a feature in Adagio FX that allows a site to retrieve a subset of the G/L into a separate data folder. This is useful in cases like yours where you want individual departments to have access to their Financial data without have access to the G/L.

This feature will be fully documented in next release of FX.

In order to use this feature you need to edit the AFWININI.??? file in the FX data folder and add specific entries to the [Retrieve?]section.

An example would be:

[Retrieve1]
Database="F:\Data\ProductionData\GLGLOB.DAT"
UserID="SYS"
Password="SYS"
SelectedDepartments=100,200,800
AppendData=0
UseExistingBudget=0
RetrieveAllYears=1

Your FX Shortcut requires a /R

So a FX shortcut of
F:\Softrak\FX\FX.EXE /USYS /PSYS /dC:\Data\Ton\FX /EAFX /R

would open the FX data located at C:\Data\Ton\FX, read the AFWININI.AFX file, and then retrieve Departments 100, 200 and 800 from the G/L located at F:\Data\ProductionData

Generally a "scheduled task" would be used to perform the retrieve after hours so that the Department would have current data as of yesterday's closing.

Thanks, that resolved the multiple users issue.
One more, I am setting the departmental user restrictions and am having a difficult time saving the "ticked boxes". They seem to revert back to what it was before. I click "OK" each time I change those restrictions, but when I come back into financial reporter and check on the dept user restrictions they are back to what I started with. What is the trick here?

If you only retrieve the Departments that the user is allowed to see you won't need to set up Departmental Restrictions.

To further support Michael's multiple users FX solution, we have worked with Michael/Softrak to perfect this solution over the past 3-4 years, and now have as many as 650 users in one company (although not all concurrently) accessing some 30 datasets of departmental data, using Terminal Services for remotely access from over 250 departmental locations, with segregated departmental security, for financial statement inquiry and reporting.

Works well. And is deployed in 3 other client sites, with the same type of reporting requirements.

The FX 9.0A extract from Adagio GL 9.0D runs nightly unattended using standard batch files called by MS Scheduler.

Ton's question about departmental access was not answered. My understanding was that the data could be retrieved into FX and that the departmental restrictions would remain as set for each user no matter how often the data was retrieved into FX. In my test environment, the changes to departmental restrictions do not disappear after log out or after a new retrieval to FX. Is that not how it is supposed to work?

Lyndon, you're understanding is correct. Assuming data is being retrieved into the same FX dataset, Departmental Restrictions should be preserved.

Has the format of the AFWININI.??? file been documented yet? If so, could someone please point me towards it and I'll go look there first. If not, here are the questions I am looking for answers to.

I am attempting to set up automated retrieval using a scheduled task for Ton. So far I can't tell if anything is happening when I run shortcut manually. FX starts up normally and sits there. Should it display a progress bar and close down or will it leave an FX window open when the retrieval is done?

The working GL data is located in:
G:\Accting Data\Current\CMHC\

The FX program is installed in:
G:\SOFTRAK\FX\

The FX data is stored in:
G:\SOFTRAK\FX\FX Data\CMHC\

We created a new user named FX in a group that only has permission to retrieve data. The password for the FX user is "inactive".

So far I have a shortcut containing this:
G:\SOFTRAK\FX\fx.exe /uFX /pinactive /d"g:\softrak\fx\FX Data\CMHC\" /eKAS /R

And I have a file named AFWININI.KAS containing this:

We're not sure yet which options should be set to 0 and which to 1 but we can figure that out after getting the automation part to work.

Where should this AFWININI.KAS file be located? g:\softrak\fx\ ? or g:\softrak\fx\fx data\? or maybe g:\softrak\fx\fx data\cmhc\ ?


... Ugh. Now that I look more closely, my AFWININI.KAS file has actually been named AFWININI.KAS.txt all this time and the extensions are hidden. Fixed that.

Ton has multiple G/Ls in different folders, do I need to create a shortcut for each and list them all in the AFWININI.KAS file, or will one shortcut perform every task under [Retrieve1] [Retrieve2] [Retrieve3] etc? Have I made any other errors in my shortcut or INI files?
