An income account in our GL shows duplicate entries from Job Cost dated 12/31/07? I checked the job cost posting journal and I only put them in one time (created in timecards). I didn’t know if I should put them in 2008 with their correct date of service (12/31/07) since they were being paid 1/10/2008. I did not put them (the entries that were retrieved twice) in a timecard batch in 2007, and therefore they did not become a cost batch in 2007. We entered them in the first timecard batch of 2008, and the cost batch they created became the first one for year 2008, but we entered them (the two items duplicated when retrieved to the GL) using the date of 12/31/2007. All other entries in that timecard batch, were dated in 2008. The only ones duplicated in the GL report are the ones with the 12/31/07 date.

It seems that the retrieval of those entries were made through Adagio Job cost and Accpac Job cost, thereby creating the duplication in the GL. We haven't used Accpac for years and this is the first time this has happened. I don't know how it happened, why it happened, and more importantly, how to insure it doesn't happen again (without my diligence when checking where the retrieved batches are generating from).

Any ideas why this occured, and how it occured?

Did you restore your JobCost data at any time or for any reason recently?

I want to add that the only thing that I can remember that was anything out of the usual with job cost was when I wanted to "close" the year in the modules. I needed to print the posting journals in JC to set them back to zero for 2008. It did not give an option to print to file. Since there were 241 pages to print, I started the print, then deleted it before it completed (this was not done in JC - done in settings for my printer). That is the only thing that I can remember in JC that was anything other than normal.

Hello Karen,

For the duplicate entries, are the batch numbers and posting sequence numbers different for the transactions in Ledger?

Yes, the batch numbers are different. One batch was retrieved from Adagio JC, the other from Accpac JC. They were posted separately.

Unlike other modules, Job Cost data was converted from ACCPAC to Adagio and is no longer compatible with ACCPAC. Transactions from Job Cost all come through Adagio Job Cost.

Could it be that there are clearing transactions not yet posted that would offset the timecard data?

Hi Karen,

Nothing posted in ACCPAC Plus Job Costing is relevant. Remove it from your system if you are using Adagio JobCost.

Unpost the batches in question, copy the transactions you want to another batch. Delete the unposte batches and post the correct transactions.

Hi Andrew,

I did the unposting and deleting already. I will delete the entire program so it doesn't happen again as we've been using Adagio Job Cost since it first came out. Any idea how/why it happened? That's just my curious nature asking.
