This is a problem I have had for a long time.

I have a couple of vendors I can't delete because they have "current transactions". These transactions are over two years old but they never become "historical".

This is annoying and puzzling. I run the data integrity check regularly and it always reports "complete with no errors".

Can this be repaired?

Are the transaction balances each equal to $0.00? In order to be moved to History, a transaction must have a zero balance, not just match some other transactions that, when combined, total to $0.00.

If they have $0.00 balances, then the Period End process should move them to History.

But that's not the end of the story! You won't be able to delete those Vendors even after the transactions are in History. You will have to clear the transactions from History first.

The Period End process also has a check-box that allows you to purge all transactions before a certain date (the date is determined by a setting on the Company Profile). Note that ALL transactions are cleared, not just for your 2 Vendors.

Knowing that, do you really want to get rid of the 2 Vendors knowing that the price is the loss of your transaction History? If you rely on your Vendor history data at all, then you should probably live with keeping the 2 Vendors.

Hello Bal,

If you look at the transactions with GridView - what is the date on the transactions? (specifically the year)

Do the "current" transactions have a balance due? I see this when a credit is not correctly applied against an invoice, and the pair of transactions never go away because the computer doesn't know they should offset one another.

If so, you can fool the computer by issuing a zero dollar manual check to the vendor, selecting the pair of offending transactions. When you post the check batch, the vendor's account is clean.

Note that when you follow Steve's recommendation, you can set the date of the manual check to a much older date. That way those pesky transactions go away sooner.

The transactions for both vendors are 2003. There's 4 transactions involved.
