Using the Payables and GL modules it looks like the same information could and at times has to be printed more than once.

E.g. An invoice is posted (requires invoice batch listing), then the batch is transfered to the GL and requires batch listing before posting. Also there are two optional print screens that appear but fortunately they can be skipped.

Is there a reason for the way printing is set up in Adagio and could it be streamlined so that all entries get printed only once?

One last question, (sorry if 4 posts seem too many)

In my business I have to set up projects in the form of departments with different accounts. Once the project is over the department and its corresponding accounts are not likely to be used again.

How can I deactivate such accounts (departments) so that I am browsing through a shorter list?

You could choose to remove the 'require batch print before posting' in either the Payables or Ledger program, so that you can post the batch without requiring to print. This is set in the Company Profile of either program. I am not necessarily endorsing this change, but just pointing out the option if you don't really require printing the listing in both apps.

You could choose to print the batch listing to a file (ie Word or Excel) instead of to paper, if you want the printed output but want to save trees. Or re-direct the printer job to a PDF or electronic image printer driver instead of the live printer.

The reason for requiring a batch print before posting is a way to ensure that the information is correct in the batch prior to updating the vendor/account records. But the behaviour is optional.

For inactive GL departments, edit the department and remove the 'Department active' option. This will set the department and all associated account to be Inactive. Then set your Account finder grids to 'show active records only' in the grid column editor to hide all inactive accounts. This is done by double-clicking on a grid title bar.

If double-clicking on a grid title bar does not load the column editor for you, your Adagio system administrator has not granted you access to editing the grids, so you will have to ask them to either grant you access or change the active records setting for you.

Hi bigcougar

If you are using GL departments on a temporary basis to track projects, there might be a better way. That is what Adagio JobCost does.

You are likely using departments because you want to see the profit/loss for the project as distinct from the profit/loss for the whole company. Although that is what GL departments are designed to do, they are really geared to be of indeterminate duration, and the reporting is generally geared to be fiscal-based. This makes it hard to view the profit/loss across fiscal years.

Adagio JobCost on the other hand also lets you gather the same information from AP and AR and report the profit/loss, but it is designed for projects of short duration - a week to a few years at most. It's reporting is not fiscal-based. It makes for a much cleaner GL.
